Process
It starts with a free call and one day on site with your team. Fixed fees for the Start and the build; monthly hours, only if you want us to stay.
Three stages
1 · The Start
One day on site. A drawing of how your business runs.
In the morning we watch the work as it really happens. In the afternoon we sit with your team, sketch the process together and choose the first thing to fix. Within a week you have a written proposal.
- The drawing: your process as it runs today, and as the team would redraw it
- What must not change, marked by the people who do the work
- A ranked list of changes, with what each would remove
- A fixed-fee proposal for the first build, in writing
Fixed fee. You keep the drawing whether or not we continue.
2 · Build and refine
Weeks, not months. The first change, live.
We build the first version with your team in the room: AI agents and automations where they earn their place, software where nothing suitable exists, connected to the tools you already use. Then it meets real work, and we refine it until it holds.
- Working software in your accounts, not ours
- A person approves anything that leaves the business, until you say otherwise
- Your team taught the new system as it goes live
- Four weeks of changes after launch, included
Fixed fee, quoted after the Start.
3 · Keep (optional)
Monthly hours. The system keeps adapting.
Businesses change, so what we build has to. We agree a number of hours a month with you, and use them to run what exists, measure it, change it, and move on to the next process.
- Monitoring, maintenance and improvements
- A review each quarter: what to change next, what to switch off
- A named person who knows your business
- Hours you do not use roll over to the next month
Monthly, sized to the hours you need. Leave with a month’s notice.
What we build
Automation between the tools you already have
Orders, invoices, bookings, stock and payments moving between systems without anyone re-typing them. Most of the friction in a small business is here.
Agents that read, draft, match and route
Reading a delivery note, drafting an invoice, matching a payment, sorting an inbox, preparing a quote. Each one with a person approving until it has earned trust.
Small software where no product fits
A quoting tool, a scheduling board, a supplier portal: built to your process, in weeks, and owned by you.
The few numbers that matter
Your data in one place, and a plain view of the handful of figures the owner actually looks at.
What we do not build
We turn these down, and will say so in the first call.
- Chatbots for your website, and customer-service bots. There are good products for this already.
- Anything that decides about money, credit or people without a person approving.
- Replacing your accounting or payroll system.
- Anything the owner cannot explain to their own staff.
- “AI strategy” documents.
Ownership and data
- You own everything we build, and it runs in your accounts. If we part ways, nothing switches off.
- Your data stays in your systems. We do not copy it out, train anything on it, or share it.
- Everything is documented plainly enough that another team could take over.
- We tell you what each piece costs to run each month, before it runs.
Fees
The Start, one day on site and a written proposal, is a fixed fee, quoted after the first call.
The build is a fixed fee, quoted in the proposal, with four weeks of refinement included. Keep is optional: a monthly fee sized to the hours we agree, and unused hours roll over.
No long contracts: leave with a month’s notice and keep everything.
Questions
Do we need technical staff?
No. You need to let us watch how the work really happens, and one person who can make decisions.
Which tools do you use?
Yours first. We connect to the software you already have and only add something when nothing you own can do the job.
How long until something works?
The first change is usually live within weeks of the day on site. We would rather ship one change that works than a plan for ten.
What about mistakes?
Until you decide otherwise, a person approves anything that leaves the business. Everything is logged, and anything we build can be switched off in a minute.
What if we want to stop?
A month’s notice. Everything stays with you, documented.
Do you work in Spanish?
Yes. We work in Spanish and English, on site in Spain and Costa Rica and remotely elsewhere.
